DMS & Workflow system

 

The POLIN Museum of the History of Polish Jews in Warsaw opened in 2005. It was established jointly by the Ministry of Culture and National Heritage, the Warsaw authorities and the Association of the Jewish Institute of Poland. The museum project is the first of its kind in Poland. The activities of the institution are financed by both public and private funds. Its mission is to collect exhibits and memorabilia and to document the multi-generational history of Jews in Poland.

Project outline

The collaboration with the client involved the implementation of an electronic document management system that will organise the flow of information and streamline work in areas such as budgeting and project management.

Project implementation and objectives

The Contractors module we developed is used to manage customer relationships. It has been integrated with tools that ensure more efficient cooperation with the electronic document workflow. Access to selected system functions depends on the level of authorisation. It is also easy and intuitive to use. Thanks to special modifications, you can perform the following actions in it: add people to the list, create a mailing group, import data to the database and update it, add notes to a specific list of people. From the level of details of a given person, it is possible to access tabs containing, among other things, information about contracts, letters, invoices or events related to a given person. Similarly, the same activities can be carried out on lists of companies and institutions. Through the Contractors module, it is also possible to create surveys and send a newsletter.

The introduction of the budgeting system in the Electronic Document Workflow gives access to information about the budgets of individual departments, taken from the financial and accounting system. This module also displays data on the degree of utilisation of these budgets, based on invoices and orders in the EDS. The Projects module, on the other hand, allows:

  • to map the project structure in the path of the invoice and contract workflow,
  • to link documents managed in the DMS with projects using the Cases module,
  • to preview the basic data about the project,
  • to display all the projects carried out in the museum.

The budgeting system and the project module are integrated with the Enova system. The integration provides the possibility to export projects from the system in order to automate the process of assigning projects and budget items to cost invoices. It also allows to add analytical descriptions when importing a document in connection with other business objects.
